Subject: this quarter's invoices

Hi, where can I send you this quarter's invoices? And while I'm at it: can I deduct the new car? Thanks.

Draft to reviewTo: client CLI-014

Hi,

You can send us this quarter's invoices through our Document Portal. If you don't have access yet, just tell us and our administration team will set it up for you.

As for the new car, one of our professionals will look into it, as they're the right person to answer.

Thanks,
The office team

What a person checks before sending it
  • That the channel is the current one, the Document Portal, not the old one.
  • That there is no invented link, date or deadline.
  • That no opinion is given on the tax question.

The example. Prepared by ELEVA with the fictional data of a sample accounting office.

The task. An everyday enquiry: one administrative question and another that needs a professional's judgement.

The preparation. The workspace already knows how to work and with which information. The team only writes the request.

The result. It answers the administrative part with approved information and passes the tax question to the professional. A person sends it.

Instructions for this type of task
  • Separate administrative questions from those that need professional judgement.
  • Reply only with the office's approved information.
  • Never invent dates, deadlines, amounts or links.
  • A tax question goes to the professional, with no opinion and no date.
  • Prepare a draft. Do not send it.

Channel for receiving documentsThe channel is the office's Document Portal; the old Document Mailbox is no longer used. Administration gives access to anyone who needs it.The office's approved information

  • Ask for the general terms of both.

How the AI workspace prepares itThe office's criteria, every time

The task. Two insurance proposal excerpts for a shop. Comparing them by hand takes time, and it's easy to miss an exclusion.

The preparation. The workspace always compares the same fields and says where each value comes from. If an excerpt doesn't say something, it doesn't assume it.

The result. The differences are in plain sight and anything not stated is flagged, with nothing assumed. The decision belongs to the professional.

Instructions for this type of task
  • Every value with its source: proposal, page and section.
  • If an excerpt doesn't say it: “not stated in the material provided”. Never assume it is there, or that it isn't.
  • Keep what the text says apart from what a professional needs to review.
  • Don't choose a proposal or recommend taking one out.

Criteria for comparing proposalsAlways check the annual premium, the limit per claim, the excess, the exclusions, the term and the renewal. The final recommendation is made by one of the office's professionals. The office's approved information

Who decides and which data goes in

AI prepares; people decide. When information is missing or something conflicts, the workspace stops and says so.

Safe

  • Synthetic or anonymised data
  • Public information
  • Approved internal information
  • The smallest excerpts the task needs

Trim first

  • Invoices, contracts, policies and emails with names, tax IDs or addresses: only the fields needed
  • Spreadsheets and CSVs with unneeded columns or rows

Never upload

  • Passwords and credentials
  • Digital certificates
  • Bank details and credentials
  • Full payslips
  • Bulk client lists

Never: send, file, pay, sign or change anything. A person always does that.

How we run an audit, step by step

Common questions

If you have another question, write to us or call.

Do I need technical knowledge?

No. The guide explains every step with pictures, and in the guided session we set it up with you. Using it only takes short requests, written as you would ask a colleague.

Which tool do you use?

We set up a ChatGPT project dedicated to your business. In the first conversation we check that your account lets you use projects.

What data can we put in?

We leave you three clear lists: what is safe, what to trim first and what must never be uploaded, such as passwords, digital certificates or bank details.

Can the AI send anything on our behalf?

No. The workspace is set up to prepare drafts and analyses. Sending, filing, paying or signing is always done by a person.

How much does it cost?

It depends on the number of tasks and the setup work. We set it out in the proposal, after the first conversation.
